Manage dates in a recurring On-Air event

For a recurring On-Air event, you can adjust or remove individual dates without changing the rest of the series.

Open All Dates

  1. Open the recurring On-Air event.
  2. Click View All Dates (or click Edit, then choose Manage Dates).
  3. Review the list of every date. Rescheduled dates show a Retimed badge, canceled dates show a Canceled badge, and past dates are dimmed.

Reschedule a Date

Click Edit on a date to move just that occurrence to a new date and/or time. The rest of the series is unchanged. Guests registered for that event receive an updated calendar invite, and a notice is posted in the event chat group.

Cancel a Date

Click Cancel on a date to remove it from the series.

  • Canceled dates remain visible on the event page, shown with a line through them, so guests know that date is no longer happening.
  • On guests’ calendars, that date is marked “Canceled” and the time is freed up rather than removed.
  • You can restore a canceled date later (see below).

Note: You cannot cancel the last remaining date in a series. Archive the event instead if it is no longer needed.

Restore a Canceled Date

Click Restore on a canceled date to bring it back into the series. Guests registered for that date receive a calendar update — never a cancellation.

Edit the Whole Series vs. Individual Dates

When you click Edit on a recurring event, On-Air asks whether to Edit All Occurrences or Manage Dates:

  • Edit All Occurrences applies your changes to every date.
  • Manage Dates lets you reschedule, cancel, or restore one date at a time.

Important: Changing the series schedule regenerates the dates, which may reset changes you made to individual dates.

Focus on a Specific Date

Click a specific date in the On-Air event list to open the event focused on that date. When Registration is set to Choose Dates, the going count, blasts, and guest list also reflect just that date.

Messaging a Specific Date

When Registration is set to Choose Dates, you can target blasts at guests registered for specific dates, and reminders are sent before each date to the guests registered for it.
