Track RSVPs and manage the guest list

Use the Guest List to monitor RSVP responses, update statuses, remove guests, and export attendance data from one place.

Open the Guest List

  1. Open an On-Air event.
  2. Click Guest List in the right toolbar.
  3. Search, filter, and sort the guests.

Update or Remove Guests

  • Change RSVP status from the guest status dropdown.
  • Remove a guest from the overflow menu.

Recurring Events

For a recurring event where guests choose their dates, a date picker at the top of the Guest List switches between All Dates and a specific date:

  • All Dates shows each guest’s overall participation, like “3 of 12 dates”.
  • Selecting a specific date scopes the status filters, sorting, and each guest’s status badge to that date. Select a date to change a guest’s RSVP.

In-Person Attendance Tracking

For in-person events, the Guest List is also where you track attendance during the event.

  • Mark guests as Attended when they arrive.
  • If needed, change them back to Mark as Unattended.

Note: Multiple people can check in guests simultaneously on different devices. The guest list and attendance status will update in realtime.

Before vs After Event

For virtual events, before the event starts the guest list is based on invited guests and RSVP statuses. After the event ends, the guest list switches to attendee reporting, including Attended and Did Not Attend views. For a recurring series, the switch happens after the final date ends; mid-series, dates that have been held already show attendance.

For in-person events, attendance is tracked manually from the guest list during the event.

Export On-Air Guest List as CSV

Use the download button in Guest List to export a CSV report with RSVP and attendance fields. If the event has custom RSVP questions, the export also includes each guest’s responses.

For recurring events, the export includes one row per guest per date, with an Event Date column identifying each date.
