Record Magic Minutes for external meetings

Magic Minutes can also capture any meeting held outside of Roam on your desktop computer. Simply turn on Magic Minutes while in your Private Office to receive a transcript and summary for meetings on Zoom, Microsoft Teams, Google Meet, WebEx, RingCentral, or any other app. These Magic Minutes will appear in your Meetings folder just as they would for meetings held in Roam.

Important: When using Magic Minutes Desktop Recording, be sure to follow all applicable laws and obtain consent before recording.

Automatically Start Magic Minutes for External Meetings

Roam can automatically start Magic Minutes when it detects an external meeting. Follow the instructions for Auto-DND for Zoom, Auto-DND for Teams, and Auto-DND for Meet, and Roam will send a desktop notification at the start of the meeting asking if you’d like to record Magic Minutes.

Manually Start Magic Minutes for External Meetings

If Roam doesn’t automatically detect your meeting, you can start recording manually:

When alone in your Private Office, click Magic Minutes > Record Magic Minutes in the bottom toolbar.
Click the Roam icon in the Menu Bar or System Tray and select Record Magic Minutes.
If prompted, follow the steps to agree to the terms and begin recording.

Important: Starting Magic Minutes does NOT include video.

Disable Magic Minutes for External Meetings

To stop receiving notifications to record Magic Minutes for external meetings, go to Settings > General > Automatically Start Magic Minutes in External Meetings and select Never.
To disable Magic Minutes for external meetings for all users, a Roam admin can go to Settings > Roam Administration > Magic Minutes > Magic Minutes Desktop Recording and turn it off.

Not Receiving Notification to Record Magic Minutes?

If you’re not receiving notifications to record Magic Minutes for external meetings, try the following:

Review the Troubleshooting Desktop Notification guide to ensure Roam can send you notifications.
Make sure you follow the steps in Auto-DND for Zoom, Auto-DND for Teams, and Auto-DND for Meet.
Check that Settings > General > Automatically Start Magic Minutes in External Meetings is set to Remind Me or Always.
Confirm that both Magic Minutes and Magic Minutes Desktop Recording are enabled by a Roam admin in Settings > Roam Administration > Magic Minutes.
