Run a Theater presentation

Roam is the perfect venue for hosting a virtual all-hands meeting or large event, offering interactive features and collaborative tools. Follow this quick guide to ensure a successful meeting in your virtual HQ!

Prepare Backstage

Designate a “Stage Manager” to run the show.

From Backstage, click More to access Theater settings. Here you can manage how people access the stage, enable or disable Backstage and the Q&A Microphone, and start recording video and Magic Minutes. When Backstage is enabled (the default), all access to On Stage must go through Backstage.

From Backstage, preload and control multimedia on a Media Board or Whiteboard, including curtains, videos, pre-show music, PDFs, images, or text. You can also upload a motivational video, running order, or initiate a screen share directly from Backstage.

Note: Roam Admins can access the Theater Setup panel from anywhere in the Theater, including the audience.

Pre-Show

  • Give audience members a few minutes to mingle and settle in before starting the event.
  • Invite on-deck presenters Backstage ahead of time so they can prepare for a seamless transition when going On Stage.
  • To personalize your entrance, add an entrance tone to your profile by navigating to Settings > Roam Administration > Personal—this will play as you join the stage, serving as your own walk-on music.

Once the Meeting Begins

  • Auto-Admit Guests – For public events, enable Theater Setup > Auto-Admit Guests so external participants are automatically placed in the audience without needing presenter approval.
  • Enable Q&A Mode – Go to More > Enable Audience Question & Answer to allow audience members to queue up and ask questions.
  • Engage the Audience – Call for a show of hands or encourage emoji reactions to keep attendees involved.
