On-It knowledge & memory

You can add company, domain, or industry knowledge for your On-It assistant to reference. This can include sales templates, company policies, recruiting materials, and more. You can also add email templates that On-It can use to follow up with others.

Supported file types include .txt, .md, .pdf, .docx, and .xlsx.

Add individual knowledge

If the knowledge is specific to your personal assistant (and not shared across your company), or if you’re not a Roam admin, you can upload individual knowledge:

  1. Hover over your On-It assistant in the top toolbar.
  2. Click Edit On-It Assistant.
  3. Select Knowledge.
  4. Click Add Document and upload a file.

Add company knowledge

For knowledge that applies company-wide, a Roam admin can upload documents for all On-It assistant’s in the company:

  1. Go to Settings > Roam Administration > On-It Assistant.
  2. Select Company Knowledge.
  3. Click Add Document and upload a file.

Note: After uploading, you can remove a document from your assistant’s active knowledge by clicking the minus icon. It will remain in your account and can be reactivated anytime by clicking the plus icon next to it.

Personal preference memory

On-It doesn’t just remember documents—it remembers you. Tell it your preferences in a chat, like:

  • When scheduling meetings, always confirm the duration with me first.
  • Prefer morning times when possible for scheduling my meetings.
  • For future reference, we usually refer to John Huffsmith as “Huffy.”
